At Philippians Academic Advising, we respect your right to control your personal information. This page explains the choices available to you and how to exercise them. These rights apply to personal data we hold about you in connection with your use of our website or services.

Virginia residents have specific rights under the Virginia Consumer Data Protection Act (Va. Code § 59.1-571 et seq.). Residents of other states may have similar rights under their applicable state law. We extend these rights to all users where reasonably practicable.

1. Your Data Rights

Right to Know / Access

You have the right to request confirmation of whether we process personal data about you, and to receive a copy of that data in a portable, readily usable format. This includes information about what data we hold, how we collected it, and how we use it.

Right to Correction

If you believe any personal data we hold about you is inaccurate or incomplete, you have the right to request that we correct it. We will respond to correction requests within 45 days.

Right to Deletion

You may request that we delete personal data we have collected from you. We will honor deletion requests subject to the following exceptions: (a) data we are required to retain by law (e.g., tax and accounting records); (b) data necessary to complete an active service engagement; or (c) data needed to defend against a legal claim.

Right to Data Portability

You may request a copy of the personal data you provided to us in a structured, machine-readable format (such as a CSV or PDF), where technically feasible.

Right to Opt Out of Sale or Targeted Advertising

We do not sell your personal data to third parties and do not use your personal data for targeted advertising or automated profiling. If this practice ever changes, we will provide you with a clear opt-out mechanism before doing so and update this page accordingly.

Right to Appeal

If we decline to act on your privacy request, you have the right to appeal our decision. To do so, please email us at philippianservices@outlook.com with the subject line “Privacy Request Appeal” and a description of your original request and our response. We will review your appeal and respond within 60 days.

2. How to Submit a Privacy Request

To exercise any of the rights above, please contact us using one of the following methods:

  • Email: Send your request to philippianservices@outlook.com with the subject line “Privacy Request.”
  • Website: Use the contact form on our website and indicate that you are submitting a privacy request.

To protect your privacy and security, we may need to verify your identity before processing your request. We will ask you to confirm your name, email address, and, if applicable, account information. We will respond to all verified requests within 45 days. If we need additional time (up to an additional 45 days), we will notify you of the extension and the reason for it.

We will not charge a fee for processing your request unless it is manifestly unfounded or excessive, in which case we may charge a reasonable fee or decline to process the request.

3. Cookie Preferences

When you first visit our website, a cookie consent banner will appear allowing you to accept or decline non-essential cookies. You can change your cookie preferences at any time by:

  • Clicking the “Cookie Settings” link in the footer of our website.
  • Adjusting your browser settings to block or delete cookies. Most browsers allow you to refuse all cookies, accept all cookies, or be notified when a cookie is set.

Please note that disabling strictly necessary cookies may prevent our website from functioning properly. Analytics and marketing cookies can be disabled without affecting core website functionality.

Opting out of marketing communications will not affect your receipt of transactional emails related to your account or active services (e.g., receipts, appointment confirmations, and service updates).

5. Updating Your Account Information

You may update your account information, including your name, email address, and contact details, by logging into your account on our website or by contacting us directly at philippianservices@outlook.com. We encourage you to keep your information accurate and current.

6. Data Deletion Requests for Application Materials

Because we handle sensitive student application materials, we take deletion requests for this category of data with particular care. If you request deletion of your application materials, we will permanently delete them from our active systems within 30 days, subject to any legal retention obligations. Please be aware that deletion of application materials cannot be reversed, and we will not be able to provide service continuity if materials are deleted before your service engagement is complete.
